This policy explains, in plain language, what we collect when you use PanelPrep, why we collect it and the choices you have. We collect only what we need to run your mock interviews and help you improve.
01What we collect
- Account details: your name, email address and a securely hashed password.
- Profile: the details you add, such as education, work experience, skills, hometown, state, goals and target exam.
- Resume: the file you upload, if any, and the text extracted from it.
- Interview data: your recorded audio answers, transcripts, the questions asked, AI evaluations, scores and delivery analytics.
- Your notes and your conversations with Marshal, the AI mentor.
- Basic technical data: browser type, device, IP address and timestamps, used for security and troubleshooting.
02Why we use it
- To run interviews tailored to your profile and target exam.
- To transcribe and evaluate your answers, and to build your reports, progress dashboard and mentor guidance.
- To keep the service secure, prevent abuse and fix problems.
- We do not sell your personal data, and we do not use it for advertising.
03AI processing
- We use a third-party AI provider (OpenAI) to transcribe your audio, generate panel questions, evaluate answers and power the mentor. Only the data needed for each task is sent, over encrypted connections.
- Under the provider's API terms, data sent through the API is not used to train their models.
04Storage and retention
- Your data is stored on secured servers with access limited to what is needed to operate the service.
- We keep your data for as long as your account is active so you can review past sessions. When you delete your account, we delete your data straight away, including your recordings and resume files, except where the law requires us to keep limited records.
05Camera
The camera preview is optional and exists only to make practice feel realistic. Video stays in your browser — it is never recorded, uploaded or stored by us.
06Your rights
- You can view and edit your profile at any time, and review all your sessions and notes in the app.
- You can download a copy of your data at any time from Settings → Your data. The file includes your account, profile, interviews (questions, transcripts, scores and AI notes), notes and mentor chats.
- You can delete your account and all of its data yourself from Settings → Delete account. If you can't sign in, contact support from the email address on your account.
- If we make material changes to this policy, we will notify you in the app or by email.
